We spoke with Alexis Spektor (Program Director) and Brian DeLeon (Direct Support Professional and early adopter of Kibu) to hear how Kibu is helping them streamline documentation, empower staff, and enrich participants’ daily experiences.
👀 Discovering Kibu
For Alexis, the search for the right system had been frustrating. Most electronic health records were designed for therapists or medical providers, using terms that didn’t match the IDD world.
“Kibu was the first electronic record system that actually spoke our language,” Alexis said. “It matched the requirements of our state without forcing staff to learn a whole new way of talking. Honestly, I had a tear in my eye when I found it…it was such a relief.”
Unlike the six-month implementations Alexis was quoted by larger vendors, FRA was up and running on Kibu in just three weeks. “It was responsive, customizable, and truly built for us,” she added. “And it’s been amazing.”
📋 From Spreadsheets to Smart Notes
Before Kibu, FRA staff logged activities manually, happening just once a day. But a new state mandate required multiple notes for every block of programming.
“It was going to be a nightmare on spreadsheets,” Alexis explained.
With Kibu, Brian was quick to jump in as an early adopter.
“I can finish logs for six people across five sessions faster than I used to for one block,” he shared. “And I love that I can do it right on my phone, even while we’re on our way back from a trip.”
The efficiency has allowed staff to spend more time with participants instead of paperwork. As Brian put it:
“It’s all about working smarter, not harder. Kibu lets us do that.”

💃 Content That Resonates
While documentation was the immediate need, FRA staff quickly embraced Kibu’s content as well.
“Our participants love the health and fitness classes,” Alexis explained. “And the social skills videos are a huge win. So much of what’s online is made for children. With Kibu, the videos feature adults who look and talk like our clients. That makes all the difference.”
FRA has woven Kibu lessons into their own curriculum, embedding videos into lesson plans and even planning activities around them. The team is also excited about Kibu’s interactive tools. “We already use Jeopardy Labs, so being able to instantly create a Jeopardy game from a Kibu video is going to be great,” Alexis said.

📝 A Voice for Every Participant
One of Alexis’s favorite Kibu moments came with Clara, Kibu’s communication tool.
“For our non-speaking individuals, Clara is a game-changer. It lets them share with their parents what they did during the day, without putting a huge lift on staff,” she said. “No one should live in a world without information about their own child. Clara makes sure families are included.”

⏳ Time Saved, Stress Reduced
Staff morale has improved alongside efficiency. “It’s easier to monitor the quality of notes, easier to track time, and it eliminates human error when it comes to billing,” Alexis explained.
Brian agreed. “There’s so much redundancy in this field. Kibu cuts through the absurdity and lets us focus on our students. That’s what matters.”
💡 Ideas for the Future
The FRA team is eager to see continued improvements, especially around integrating Individual Support Plans (ISPs).
“Right now, we get ISPs in PDF form,” Alexis noted. “If Kibu could scan and auto-fill that information into the right fields, it would save endless hours of manual entry and reduce human error. That would make Kibu a true one-stop shop.”
